My inbox has been full of the same question for weeks. Some version of, what do you mean when you say CEO systems? Here is the short answer. Myofunctional therapy practice management is not a thing you graduate into once your calendar is full. It is the set of systems you build first, on purpose, while it still feels premature. Most trained therapists run it in the opposite order. They wait until they feel busy enough to deserve the systems, and the missing systems are the reason the busy never shows up.

What Myofunctional Therapy Practice Management Means When You Are CEO of One
You are the CEO right now. Of one. That still counts.
I know you do not think of yourself that way, because you are one person with a laptop and a client list you could count on one hand. But the title is not a reward you unlock at a revenue number. It is a job description, and it comes with work that is separate from the therapy. Somebody has to look at the numbers. Somebody has to decide what the business spends money on. Somebody has to build the path a client walks from the first message to the last appointment.
That somebody is you, today, whether or not the systems exist yet.
Three of them matter more than everything else, and I want them built long before you feel ready for them.

CEO System One, Your Metrics
Your girl loves a number. This is the system most therapists skip until they think they are big enough to worry about it, and that is exactly why a lot of them never get there.
Where Your Numbers Come From
Start with the obvious two. Set up your Google Business Profile and install Google Analytics on your site. Then learn to read what they are telling you, because installing them and never opening them is the same as not having them at all.
Here is what you get. How many people landed on a given page. Where they came from. Whether the people finding you are arriving from Instagram, Facebook, LinkedIn, or typing your name into Google. That last one is your attribution, and it tells you which of your efforts is doing real work and which one only feels productive.
You might think a blog post is wonderful and find out nobody reads it. You might have a beautiful website that nobody visits. Without the numbers, you will never know which one you have.
Give the Data Three to Six Months Before You Change Anything
A student asked me recently why nobody was opting in to her lead magnet. She kept sending the link and getting nothing back.
Two things were happening. First, she had sent it about a dozen times. Twelve is not data, twelve is a warm up. I want my clients doing something boring and consistent for three to six months before they look at the results and change a thing.
Second, and this is the part that matters, she had no idea how many of those twelve had even landed on the opt-in page. If twelve people clicked, twelve landed, and zero signed up, that is a messaging problem and you can fix it in an afternoon. If twelve people got the link and only two clicked, that is a different problem with a different fix. Without the numbers you are guessing at which one you have, and guessing costs you months.
Redeciding constantly is what keeps you stuck. Data is what lets you stop.
CEO System Two, One Software That Carries the Whole Client Pathway
I want your complete client system living in one place.
I use 17hats and have for the life of my business. Scheduling happens there. The offer for a spot in therapy goes out from there. The signed consent lives there. Invoicing, bookkeeping, appointments, and the post-therapy request for a Google review and honest feedback all come out of the same system. One place, start to finish.
There are parts of 17hats I have never touched, because my pathway is dialed in enough that I do not need them. That is the point. The system is not impressive. It is finished.
I do not care which program you pick. Pick one and set it up. And pay for it. Stitching five free tools together to dodge a subscription costs you more in dropped clients and manual cleanup than the subscription ever would. You are building the business today that you will still be running ten years from now. Set it up while you have time to learn it, instead of learning it in the middle of your first busy month.
CEO System Three, a Plan for Every Dollar
Inside The Profitable Myofunctional Therapist™ I teach this as myo money, and it is built on the Profit First method. Read the book if you have not. It changed the course of my life, and I still find it satisfying that the multimillion dollar business owners I learn from are running the same system I picked up a decade ago.
The idea is simple, and most people skip it anyway. Every dollar that comes into the business gets a job before it touches your pocket. A portion goes to taxes. A portion goes to operating expenses. A portion becomes your paycheck. You decide the split once, and then the money moves on its own instead of sitting in one account looking bigger than it is.
The payoff is not glamorous. It is that when the tax bill shows up, the money is already sitting there waiting for it. Nothing about that is exciting. Everything about it is the difference between a business you own and a business that owns you.
If you have not set your prices yet, do that before you build the split. Episode 88 walks through pricing without undercharging.
Why These Get Built Before You Feel Ready
Every one of these takes weeks or months to start paying you back. Metrics need three to six months of data before they say anything useful. Software needs a learning curve. A money plan needs a few cycles before it stops feeling strange.
That is the whole argument. If you wait until you are busy to build them, you will be building them while you are busy, badly, in the gaps between clients, and they will not be ready at the moment you need them.
There is a second reason that has nothing to do with logistics. When you start moving into bigger rooms, better coaching, higher level conversations, people are going to ask you your numbers. Not knowing them is not humility, it is a gap. Knowledge is power, and you have to love a good spreadsheet.

Frequently Asked Questions
What is myofunctional therapy practice management?
Myofunctional therapy practice management is everything that keeps the business side of your practice running, separate from the therapy itself. In practice it comes down to three systems. The metrics that tell you what is working, one software that carries a client from first contact through completion, and a financial plan that assigns every dollar a job before you spend it.
What business systems do I need before I see my first client?
The same three. You do not need a team, a brand refresh, or a course funnel. You need a way to measure, a way to run the client pathway, and a way to handle money. Episode 65 covers those three foundations in more detail. Everything else can wait.
Do I need to pay for practice software or can I use free tools?
You can start free and plenty of people do. What you cannot do is run five separate free tools and call it a system, because the gaps between them turn into manual work you will be doing at ten at night. One paid platform that handles scheduling, contracts, invoicing, and follow up costs less than the hours you lose holding the free ones together.
How long should I track my numbers before I change anything?
Three to six months. Less than that and you are reacting to noise. The most common mistake I see is a therapist changing her offer, her pricing, and her messaging inside the same six weeks, then having no way to tell which change did what.
How do I pay myself from a myofunctional therapy business?
Decide the split before the money arrives, not after. A percentage for taxes, a percentage for operating expenses, and a percentage that is your paycheck. Move it as it comes in rather than paying yourself whatever is left at the end of the month, because at the end of the month there is rarely anything left.
I am not making money yet. Do I still need all of this?
Yes, and you especially need the metrics. The therapist with no clients has the most to learn from her numbers, because every one of them points at the specific thing that is not working. Run the business diagnostic in Episode 80 if you want to know where you stand before you build anything.

Build the Systems Before You Feel Ready
You do not need to feel like a CEO to start doing the job of one. Sound myofunctional therapy practice management is three systems, built early, in the season when building them still feels like overkill. Metrics, so you stop deciding on a hunch. One software, so the client pathway holds together without you carrying it. A plan for your dollars, so the money that comes in has somewhere to be.
If you are stuck on where to start, or you have half of this built and cannot tell which half, book a Get Unstuck Call. We will look at where your practice stands right now, what needs to happen next, and whether The Profitable Myofunctional Therapist™ is the right fit for the season you are in.
